The Canadian as a Second Language Institute (CSLI) is an award-winning English language school located in the trendy district of Yaletown in downtown Vancouver and offers a wide variety of English courses for all levels.

Bookkeeper

Is the key person responsible to support the accounting operations at the Canadian Second Language Institute (CSLI), assisting with the accounts receivable, the accounts payable, the month-end reconciliations, facilities, records, equipment and building services, also completes special projects.

 

The Bookkeeper helps to maintain the physical school and fulfill key day-to-day administrative operations; constantly interacting with CSLI staff, students and suppliers. Like all other roles at CSLI, the Bookkeeper has a critical role to play in delivering on CSLI’s unique premier learning experience and exemplifying the culture of caring, excellence and enthusiasm.

 

This is an entry level position that for the right person provides an opportunity to evolve into other opportunities within the LCI Education Network, and be involved in many aspects of the overall operation:

 

Key Responsibilities:

 

Accounting: (60%)

 

  • Liaises with accountant and finance department in Vancouver, the Head Office in Vancouver upon request, and the CSLI Campus Manager
  • Records and reconciles invoices
  • Processes employee expense accounts
  • Reconciles the student enrolment system to the accounts
  • Prepares and approves Purchase Requisitions, monitors the Purchase Order status, matches Purchase Orders and Invoices, and initiates the payment process upon approval
  • Accounts for, and initiates the payment process for Agents commission
  • Administers, oversees, accounts  and reconciles: petty cash, payables and receivables, student payments: cash, credit card and wire transfers
  • Administrates and accounts for miscellaneous student service requests (refund, transferred money)

  • Reconciles source documents and accounts for review
  • Deposits daily received monies in the bank and reconciles for review
  • Maintains a systemized electronic filing system
  • Prepares inter-company transactions and reconciliation
  • Researches and implements procedures to improve financial reporting as required, carries out other tasks as assigned by the Campus Manager, Director of Finance or Controller

 

Facility Management: (30%)

  • Coordinates and administrates the maintenance of facility and equipment
  • Purchasing an maintaining stock of office and cleaning supplies
  • Coordinates keys, Fobs & parking
  • In charge of procedures for opening and closing school
  • Schedules and book temporary classroom rentals

 

Homestay Management: (10%)

  • Coordinates and administrates the student accommodation (homestay, hostel, hotel, apartment rental)
    • Liaises with the homestay company

    • Receives flight arrival info and organizes pick up if necessary

    • Quality control (evaluations and comments) and deal with complaints

  • Ensuring all applications from students requesting HS have been sent to Homestay agency for placement.
  • Maintaining a database of host family profiles. Creating and updating families’ profiles according to HS agency updates.
  • Assigning students to families in database ensuring the family meet the students’ preferences and no other student speaking the same language is being hosted by the family (data entry)
  • Counsel students when challenges occur between them and their host families.
  • Allocating payment to homestay agency according to payment received from students for homestay.

 

Eligibility: Degree required, 1-2 years work experience in a fast-paced office environment.

  • Accounting experience preferred.
  • Enthusiastic, love of learning, team player, good communicator, commitment to international education and second language learners
  • Proficient in Microsoft office; Excel, Word and Outlook.
  • Class 5 driver’s license

Reporting to:

  • CSLI Campus Manager
  • Dotted line responsibility to the Director of Accounting
